Inviting someone to log in

How to give a person a login, the difference between adding someone and inviting them, and how to revoke access.

Invite a person to log in once they exist as a record in your organisation. Adding someone and inviting them are separate on purpose: a student or instructor can exist, be booked and have records kept without ever needing to sign in.

Sending an invitation

  1. Open the person's record.
  2. Choose Invite to log in.
  3. Confirm the email and send.

They receive an invitation to set a password and sign in. What they can then see and do is decided by their role, not by the invitation. See Understanding roles and permissions.

While an invitation is pending

You can resend an invitation if it did not arrive, or revoke it before it is accepted. A pending invitation grants no access on its own.

Removing access later

Revoking someone's access stops them signing in, without deleting their record or the history of what they did. A person who leaves keeps their place in the audit trail: who signed which lesson, who moved which booking, is preserved even after they can no longer log in.
