Signing a document

Signatures let you collect a signed agreement against a document and keep proof of it. This is for commercial documents, an enrolment agreement, a hire agreement, a consent form. Training records are signed off in the training record itself, not here, so the two never get confused.

Requesting signatures

1. Open Documents, then Signatures.
2. Choose Request signatures and give the request a title.
3. Add each signer by name and email. A signer does not need a FlyerOS login, so you can send a request to a parent, a member or an external party.
4. Create the request. It starts as a draft and lists every signer as pending.

If you generated the document from a template first, you can attach that generated document to the request, so it is clear exactly what is being signed.

Minors and a guardian co-signer

If a signer is under the age that requires a guardian, FlyerOS adds a guardian co-signer to the request automatically. You do not have to remember to do it, and a record for a minor cannot quietly be signed without the guardian being part of it.

Recording a signature

Each signature is recorded against its signer. When a signature is captured, FlyerOS stores the exact content the signer was shown and a fingerprint of it, so the document cannot later be claimed to have said something different. The event trail records who signed and when.

Declining is a valid outcome

A signer can decline, with a reason. That is recorded too, and it moves the request to declined. A decline is an honest result, not an error, and the trail keeps it so you can see what happened and why.

When it completes

The request completes on its own once every signer has signed. Until then it stays open with the outstanding signers still pending. The status on each request reads draft, completed or declined at a glance.
