Member balances and topping up
How a member's balance works, how topping up adds funds, and how flying and charges draw the balance down, all visible on the member's own record.
Last reviewed
A member's balance is money held for them against future flying. It sits on their own record, so a member always sees where they stand without asking anyone.
Topping up
A member adds funds to their balance from their own page. The balance goes up by what they put in, and the top up is recorded with a date and amount, so the history is clear on both sides.
How the balance is drawn down
When a member flies, the cost of that flight is charged against their balance at close-out, using the hours actually recorded. Membership dues and any other charges draw it down too. Because charges land as the activity happens, the balance always reflects real use, not an estimate someone will reconcile later.
What a member sees
Their current balance, what has gone in, what has been charged, and what each charge was for. The reserve funds their flying contributes to are shown alongside, so a member can see the full picture of what they owe and what they are building up.
What staff see
Staff with finance permission see every member's balance and can record a top up on a member's behalf, for a cheque or a bank transfer that arrived outside the app. Every entry is attributable, so the trail holds up.
